Job Description

Nature and Extent of Position:

Basic Function:

Support & coordinate the film office functions of the EDC by ensuring an efficient, organized and effective office. Serve as the assistant to the Director of the Sarasota County Film and Entertainment Office and assist the CEO and Operations Manager as needed.

Responsibilities:

Film/ Production Coordination :

Assist productions with inquiries and actively filling out and submitting Sarasota County permits including routing as received to appropriate authorizing entities.

Rebate Program :

Assist productions with inquiries and actively filling out and submitting Sarasota County Applications for Rebate Incentive Program.

Specialized Database(s) Maintenance and Updates :

Maintain Reel Scout Clients-Production Crew Database.

Maintain Reel Scout Locations Photography/Library Database.

Maintain other databases as acquired or activated by the Film Division.

Website Maintenance and Updates :

Assist the Director with the discussion and identification of key features needed for the creation/implementation of the new website underway.

Post information, production calls and other input to keep news and resources current on site.

General and Administrative :

Administrative support to the Director, including:

Maintain film office inventory and order film specific supplies.

Maintain publicity book, materials, and electronic file of press, publicity, RSS feed mentions etc. pertinent to the film office and/or director.

Events support for the Director, including:

Assist with planning, preparation, promotion, information dissemination, invitation of guest lists, and implementation of any film office events.

Position Requirements:

General:

Position requires a flexible, diplomatic person who possesses excellent communications skills, poise, and a pleasant and professional nature. Must have the ability to handle crisis situations and manage multiple tasks and accomplish diverse non-related tasks in a timely manner, giving the appropriate level of priority to each. Must be a confident, responsible person who has strong, organizational skills and the ability to work well with staff, volunteers and members of the community. Decision-making skills and decisive actions are necessary. The job requires occasional evening, weekend and early morning activities. Neatness, accuracy, promptness, and thoroughness are necessary.

Skills Required:

Communicating effectively verbally and in writing.

Developing and evaluating reports, forms and data.

Exceptional organizational skills required.

Exceptional email skills and strong computer skills working with database software, word processing, spreadsheet programs, Adobe Suite.

Conduct effective meetings and maintain order in an environment of changing priorities.

Ability to take initiative, work independently, and make responsible decisions.

Strong attention to detail and organizational skills.

Transcription and typing skills of at least 65 WPM.

Education:

Any combination of education and experience providing the required skills and knowledge for successful performance would be qualifying.

Typical qualifications would be equivalent to:

Minimum of two years’ college education and five years of executive or administrative support experience. Minimum five years of experience working in a related environment.

Experience with Chambers of Commerce, economic development organizations and other community related organizations and activities.

Organizational Structure:

Position reports to: Film Director & Accounting /Office Operations Manager.

Reporting to the position: No one.

Job Type: Full-time

Salary: $15.00 to $22.50 /hour
