Communications and Programs Assistant – American Academy of Optometry – Orlando, FL


This position assists the Programs Team, and is responsible for the implementation of the American Academy of Optometry’s social media sites, web communities and related web‐based applications and communications. This includes, but is not limited to social media applications, blogs, podcasts, RSS feeds, e‐mail broadcasts, community posts, and surveys.


Social Media

  • Assists in creating, implementing and managing social media and web community programs and campaigns.
  • Facilitates presence on external profession social media and communities. Monitors profession social networks for mention of the American Academy of Optometry and identifies opportunities for response and/or issues of member interest.
  • Identifies ways to enhance member experience through various forms of social media.
  • Measures the effectiveness and ROI of social media programs, and tracks consumer/market trends in usage of social media.
  • Ensures positive messaging is maintained in social communities and helps establish consistency of messages.
  • Prepares reports to update internal staff on usage statistics.
  • Facilitates the collection and publishing of user‐generated audio, video, photos and text.

Website / E-Communications

  • Assists with communications aspects of the Academy’s websites; specific responsibilities include copy editing, fixing links, enhancing page layouts and managing documents in terms of technical specifications and content value for site visitors.
  • Assists in search engine optimization (SEO) efforts and Google Analytics monitoring.
  • Moderates user content and assists in generating new content for the Academy’s in-house online community.
  • Assists with mass e-mail communication; specific responsibility includes updating content in pre-designed templates, proofreading, testing and scheduling/deployment.


  • Responds to routine requests and route more complicated requests from general email account.
  • Proofreads printed and digital materials (such as Program Preview, Onsite Program Book – Author index, newsletter, website).
  • Prepares department check requests.


  • Edits and prepares text for the website, onsite program book, and outlines for COPE submissions.
  • Enters education credits and Continuing Education with Examination results in the Florida Board of Optometry’s CE Broker system.
  • Assists with updating continuing education credits in the Association Anywhere system, and provides customer service to attendees about their credits.
  • Submits course outlines and curriculum vitae for CE program approval with optometric accrediting bodies.
  • Updates records in Association Anywhere system.
  • Prepares state boards of optometry mailings for Scientific Program continuing education approval.
  • Prepares attendee course materials for the Leadership program.


  • Prepares and mails membership recruitment and retention materials.
  • Prepares mailings to schools/other meetings – trinkets, bags, membership materials.
  • Communicates with members to retrieve missing contact and biographical information.
  • Processes student member applications.
  • Works with schools’ liaisons to coordinate full class memberships.

Customer Service

  • Responds to general inquiries by email or phone.
  • Provides backup to Office Manager/Receptionist for answering incoming telephone calls.
  • Supports membership, education, communications and registration at the Annual Meeting.

All other duties as assigned.

Skills Required

  • Advanced knowledge of personal computers, including word processing, spreadsheets, email programs and internet.
  • Analytical and problem-solving skills.
  • Knowledge and experience with principles and practices of organization, planning, records management, research and general administration.
  • Excellent written and oral communication skills and proofreading skills.
  • Active knowledge of social media websites (current and future/evolving) and how to use them effectively.
  • Creativity to think of unique social media strategies.
  • Attention to detail.
  • Outstanding customer service skills.

Skills Preferred

  • Prior non-profit experience.
  • Basic HTML coding.
  • Social media publishing, website editing, broadcast email production and distribution processes.
  • Measurement of social media ROI and tracking consumer/market trends in usage of social media.
