Answer team member phones, take messages and ensure timely return of phone calls.
Schedule and organize team member and member studio company meetings.
Arrange team member travel and hotel
Organize, prepare and submit team member expense reports to finance utilizing the MPAA online expense reporting system.
Develop and maintain department budget(s), including travel tracking mechanisms and other expense tracking tools versus budget comparisons in realtime.
Prepare, assemble, and distribute internal and external advocacy materials as needed, including: memoranda, presentations, reports, emails, etc.
Manage external correspondence for EVP, including drafting correspondence, follow-up from internal and external meetings and internal deadlines.
Develop relationships with MPAA counterparts in DC, LA, and the Regions and with studio member company representatives.
Maintain up-to-date Word and email lists for various MPAA meetings.
Manage inflow/outflow of information requiring EVP approval or response to EVP requests for information.
Prepare EVP for meetings and events.
Other duties and projects as assigned.
Education and Experience Requirements:
Bachelors or equivalent educational or work experience.
5+ years relevant work experience as an Executive Assistant.
Excellent Outlook skills, particularly calendaring and Word.
Excellent Excel and PowerPoint skills, or the equivalent.
Experience setting up RSS and other keyword tracking feeds.
Experience tracking projects and progress (MS project knowledge a plus), use of Sharepoint or other cloud services.
High energy, and strong organization, research, and writing skills.
Strong administrative and organizational skills with the ability to take initiative to complete assignments and job responsibilities with minimal supervision. Comfortable multi-tasking a number of important initiatives, under time constraints, including projects that are global.
Demonstrated interest and experience in government affairs as well as foreign international trade policy, international governmental institutions.
