Realtor Executive Assistant

Position Summary:

Looking for long term, full-time employee who is willing to grow with my business, who would be responsible for all aspects of daily administrative support, bookkeeping and basic marketing of properties.

To provide exemplary support service to a very busy west side luxury Realtor, and expertly manage the day to day needs for supporting his transactions.

Required Qualifications:

  • Flexibility in hours M-F
  • Currently residing on the West Side, Maui
  • Strong organizational skills
  • Strong communication skills
  • Maintain professionalism
  • Working knowledge of Paragon
  • Skilled with Microsoft suite
  • Skilled with Google Suite
  • Excellent Computer Skills-Proficient with Mac
  • Familiar with the Real Estate Industry and Programs
  • Basic Graphic Design
  • Reliable transportation, a current Hawaii driver’s license.
  • Personal assistance as needed.
  • Proficient in Quickbooks
  • Accounts Receivable and Payable, G.E.T, management

Desired Qualifications:

  • Possess a sense of ownership and pride in all aspects of performance.
  • Possess a positive attitude, take initiative with little direction and demonstrate a willingness to take full responsibility for all position duties
  • Excellent written and verbal communication skills
  • 2 years of experience in a Real Estate support role or similar.
  • Ability to maintain positive working relationships with clients, vendors and Elite Pacific Team members.
  • Be willing to learn and management many support programs

Real Estate Executive Assistant Responsibilities:

  • Prepare a daily agenda.
  • Full Email management
  • CRM Management
  • Arrange and manage the daily calendar for best use of time.
  • Prepare and provide all listings materials, prior to a listing appointment
  • Organize photography for new listings and write property marketing descriptions-approval by Robert
  • Upload Photos to MLS.
  • Assist with Print and Digital Marketing Pieces.
  • Coordinate all listing and escrow documents with the Transaction Team with Elite.
  • Coordinate all marketing with the Elite Marketing Department.
  • Review and get approval for all marketing content before they go live.
  • Maintain files for each property both digitally and in print.
  • Create and maintain Zipforms, Docusign
  • Scan all required documents for proper organization.
  • Manage Advertisements- Magazines and Newspapers
  • Provide Caravan Support as needed
  • Provide Inventory Collection support as needed.
  • Create Monthly Newsletter
  • Assist with Blog Writing
  • Monitor RSS feeds and pulls data for marketing efforts.
