Web & Multimedia Coordinator job – Colorado State University – Fort Collins, CO

Colorado State University is located in Fort Collins, Colorado and has an enrollment of 30,000 students. Housing & Dining Services is the largest department on campus with over 400 full-time staff, 1,300 hourly and student staff, and 7,000 on-campus residents. The department includes Residence Life, Apartment Life, Dining Services, Conference and Event Services, CSU’s Mountain Campus, and the RamCard Office.

Position Summary

The Web & Multimedia Coordinator is responsible for website creation, producing engaging multimedia content, digital sign management, social media management, and videography for the Communications & Sustainability Office within Housing & Dining Services at Colorado State University.

The coordinator will report to the Assistant Director of Multimedia and work closely with the Assistant Director of Web Development. This position will be part of a dynamic team that supports the communications needs of the largest department on campus.

Required Job Qualifications

• Bachelor’s degree in web communications, multimedia, digital communications, OR unrelated Bachelor’s degree with a minimum two years professional experience in web, multimedia, digital communications, social media, and/or digital graphic design

• Demonstrated experience managing multimedia projects

• Demonstrated experience with CMS , HTML , CSS , and Adobe Creative Suite

Preferred Job Qualifications

• Demonstrated ability to successfully manage multimedia projects within a university setting

• Software experience with Four Winds, Visual Composer, After Effects, Premiere, Illustrator, Photoshop, and Moqups

• Experience with SharePoint 2013

• Experience with WordPress or similar Content Management System

Essential Duties

Job Duty Category

Digital sign management and content creation


Develop multimedia content and manage the 60+ digital signs throughout the department featuring dynamic video content, announcements, and promotions of ongoing campaigns and programs:

a. Utilize After Effects, Premiere, Illustrator, and Photoshop to generate original content and adapt existing print designs from the Creative Team for use on the digital signs.

b. Configure apps for the digital signs, code live data feeds including RSS , XML , and social media feeds for deployment on the digital signs, create and implement variables and conditions to control specific and timed content for each sign, and manage network overview in the Four Winds software.

c. Serve as liaison with Four Winds to coordinate new purchases, manage installation with Technology Services and third party vendors, and engage with the Four Winds interactive community and professional development workshops to identify best practices and pursue emerging trends.

d. Troubleshoot any issues with the digital signs by verifying IP address connection, checking proper drive-mapping on the network, and utilizing the Four Winds online knowledge base to identify potential solutions; independently resolve issues when possible and engage Technology Services and/or a third party vendor when necessary .

e. Manage the advertising system for the digital signs including scheduling content, vetting content to ensure it meets advertising policy guidelines, and coordinating invoicing and payments.

f. In the event of an emergency, on-call duties to upload messaging to the digital signs and liaison with Director of Communications, CSUPD , and/or Public Safety Team on emergency management of sign content.

g. Manage budget proposals and price quotes for the expansion of the digital sign system (about $80,000 annually) as well as annual maintenance, subscription, and development costs to manage the system.

Develop new pages and create advanced content for web sites, SharePoint, and web services for the department:

a. Utilize HTML , CSS , and Javascript to create new pages, edit source code content, and create graphics for the Housing & Dining Services public website, Mountain Campus website, Conference and Event Services website, and SharePoint intranet site for the department.

b. Set project timelines and milestones for web initiatives and meet with staff to coordinate design and content.

c. Conduct usability and accessibility testing.

d. Create wireframes for new sites and new web features for existing sites in Visual Composer and Moqups.

e. Collaborate with Web Developer to identify emerging trends in the field and to develop new web sites.

f. Serve on the Web Steering Committee and manage biannual reviews of all public websites in the department.

Track the success of multimedia projects (including digital signs and websites) with analytics and utilize SEO and social media tools to promote and highlight programs and services:

a. Utilize Google and SharePoint analytics to create usage reports for the Web Steering Committee, track traffic trends, and collect visitor demographics.

b. Develop strategies to gather qualitative data on digital sign engagement (focus groups, observation tests, etc.).

c. Set vision for the digital sign program based on assessments and make recommendations to Director and Assistant Director of Multimedia on how to expand services, improve messaging, and enhance end user experience.

Campus Collaboration


Collaborate with staff within Housing & Dining Services, throughout Student Affairs, and across campus on various multimedia projects:

a. Serve as a representative on related committees and task forces.

b. Collaborate with other departments on campus who utilize Four Winds to exchange ideas, explore new technologies, and serve as a resource for areas just getting started.

c. Serve as the liaison to External Relations for the digital sign advertising program to ensure ads meet graphic standards and adhere to all university policies.

d. Cross-train the Communications team to ensure that digital signs, websites, and SharePoint have back-up and emergency coverage.
